The Ask: General Event Photography + On-Site Editing

The Project: The Pinnacle retreat, was an incentive trip for top performers, within the company, who were awarded a luxurious all-inclusive retreat at the Fairmont Kea Lani, in Maui. Throughout the four-day itinerary, our team of 4 covered general sessions, award ceremonies, off-site dinners, professional portraits, a luau, and a group photo. We scaled our team, to fulfill 7 off-site adventures, which included hiking, snorkeling, ziplining, kayaking, rafting, golf, and a pineapple plantation visit.

The Ask: General Event Photography for Incentive Trip to Maui

The Project: The Pinnacle retreat, was an incentive trip for top performers, within the company, who were awarded  a luxurious all-inclusive retreat at  the Fairmont Kea Lani, in Maui. Throughout the four-day itinerary, our team of 4 covered general sessions, award ceremonies, off-site dinners, professional portraits, a luau, and a group photo. We scaled our team, to fulfill 7 off-site adventures, which included hiking, snorkeling, ziplining, kayaking, rafting, golf, and a pineapple plantation visit.

 

1. Arrivals: Upon arrival, guests received a lei, and were treated to a custom lakai sandal fitting station. We captured elements of the arrivals and took advantage of the beautiful open air lobby, with some fun portraits and group photos

2. Welcome Dinner: Guests were treated to a sunset dinner on the beach with two photo moments, food / beverage stations, a coconut stand, and a Hawaiian band. We covered arrivals at each of the photo moments, captured aerial photos during sunset and then captured scenics and story setting shots.

3. Activities: The off-site activities are always one of our favorite components to capture, during a travel program. For this particular program, we scaled our team, with local talent, to cover 7 off-site adventures. These included hiking, snorkeling, ziplining, kayaking, rafting, golf, and a pineapple plantation visit. Guests received a dedicated photographer, for each activity, and were able to quickly view the images after the event on a custom and private website. 

4. Luau: Guests were treated to a traditional Luau. This festive party included traditional food, music and performances that took guests through a cultural and historical narrative. Guests were also invited to utilize the two photo ops, where photographers were present. The end of the evening was capped with an intimate fire dance performance. 

5. Photo OpsThroughout the 4 day itinerary, we integrated several photo opportunities where guests could take solo, couple or group photos. We captured some beautiful moments, and gave guests plenty of opportunities to have some keepsake images from such a special experience. 

6. Group Photo: We had initially planned for an epic drone shot, with a 100+ person group photo, on the beach, but the weather didn’t cooperate. During our scout day, we worked with the event planners and hotel staff to secure a plan B, in the case of inclement weather. The call was made, moments before, and we flawlessly executed a great group photo, inside the hotel lobby with our professional lighting already set and ready.

7. Professional Portraits: We set up a professional head shot studio, where guests could come, at their leisure, to have an updated portrait taken. The client decided on two background colors, which aligned with their brand identity. Guests could view and select their images, on-site, and professional retouching was done.

The Ask: Create a custom website where guests can view, download and share images throughout the program.

The Project: The end client wanted to provide guests, with their own way of accessing all the images, throughout the program. We presented several options, ranging from a custom built website, to a customized third-party option. The client went with the latter and we customized a third party platform. Throughout the program, we had a dedicated editor working to upload curated galleries for each component of the program, and upload to the website. Guests could refresh the gallery to view, download and share images straight from the site. We had a dedicated email address created to quickly answer any technical questions. We kept track of the user metrics, and had outstanding results. Of the 300+ person program, we had 2,050 site visits (and counting) and thousands of images which were downloaded, from 350 different users. Almost a year later, guests were still viewing the site.

The Steps:

2. Choose the platform (custom built site or modified third party platform)

3. Integrate welcome messaging, branding, logos  

4. Create categories to be filled during event 

5. Send URL to guests in welcome package 

6. Track user activity
